Urgent vs important: what is the difference?
Urgent means it needs attention soon, because time is running out or someone is waiting. Important means it contributes to your goals and values, whether or not there is a deadline.
The two often get mixed up. Urgent things shout: messages, calls, notifications. Important things are quiet, such as learning a skill, looking after your health or planning your year. If you only react to what shouts, the quiet things are never done.
A quick test
- Urgent? What happens if this waits until the end of the week? If something real goes wrong, it is urgent. If only someone feels impatient, it probably is not.
- Important? If I did this well, would it move a goal that I care about? If you would not mind it never being done, it is not important.
The four combinations
- Do it first.
- Schedule it. This is where your best work lives.
- Delegate it, batch it, or say no.
- Delete it.
Why this matters
Tasks in the second box have no pressure, so they quietly wait until they turn into emergencies. A matrix makes them visible. Use the template to try it on paper, or look at examples to see what goes where.
